A residential paint bid lives or dies on the prep, not the paint. The contractor who bids 1.2 gallons per 400 sq ft and forgets to bid the spackling, the caulking, and the sanding is the contractor who lost three days on a kitchen and made $80 of margin doing it.

What a paint bid actually contains

Walk a typical 3-bedroom residential repaint — 2,400 sq ft of wall and ceiling area:

  • Prep: 24-48 hours of labor (spackle, sand, caulk, mask, drop cloths)
  • Primer: 1 coat on patched areas, 1 full coat on color changes
  • Wall paint: 2 coats, ~6 gallons of premium product
  • Ceiling paint: 1 coat ceiling-specific, ~3 gallons
  • Trim paint: 1 gallon premium trim enamel
  • Brushes, rollers, plates, plastic: $120-$180
  • Cleanup: 4-6 hours

Labor at $65/hr loaded × ~40 hours = $2,600. Material at $48/gal × 10 gallons = $480, plus consumables $180 = $660. Direct cost: $3,260. Markup at 35% = $4,400 bid.

That bid wins because every line is there. The contractor at $2,800 either skipped the prep allowance (which means a change order on bid day for "additional spackle work") or skipped the cleanup (which means a day of work the customer doesn't see coming).

The labor multipliers that wreck margin

Painting labor isn't flat. Three multipliers should appear on every bid:

Color change surcharge. Going from beige to white is a 1-coat job. Going from beige to navy is a 3-coat job because the beige bleeds through. Bid it as a per-room surcharge ($80-$150/room) or as an extra labor hour per room. Don't bid the same labor for both.

Wall height multiplier. A 9-foot ceiling is 12.5% more wall surface than an 8-foot. A 10-foot is 25% more. A vaulted living room can be 40-60% more square footage than the floor plan suggests. Bid the actual wall surface, not the room name.

Cutting-in multiplier. Crown molding, chair rails, wainscot, and built-ins all add brush time the roller doesn't cover. A room with crown molding takes ~30% more labor than a room without. Bid it.
